The Frederick Gunn School, founded in 1850, is a co-ed boarding and day school for students in grades 9-12, as well as a post-graduate year. 

Position Summary
The Admissions Receptionist is a 12-month position reporting to the Chief Enrollment Officer. The Admissions Receptionist is a critical member of the Admissions team often serving as the first person that a visitor to Admissions encounters. Excellent customer service and interpersonal and communication skills as well as patience, attention to detail and organization skills are essentials for this position.

Responsibilities

  • Greet prospective families when arrive in Admissions and send them on tour with student tour guides
  • Greet other visitors in Admissions area and guide them to appropriate location or faculty or staff member
  • Welcome families back from tour and connect them with their Admissions Officer or scheduled faculty member
  • Answer school’s main phone, address general questions and forward calls to appropriate parties
  • Make appointments for tours and interviews for prospective families
  • Process daily inquiries into Finalsite
  • Mail viewbooks and other marketing materials to inquiring families
  • Send email reminders for upcoming appointments (two days in advance of appointment)
  • Print the admissions calendar and coaches/teachers calendar to guide Admissions Team as visitors arrive
  • Prepare and print tour guide schedule to guide Admissions Team as visitors arrive
  • Build and maintain positive rapport with student tour guides, offering guidance and feedback as needed
  • Enter completed interviews in Finalsite and assign to appropriate Admissions Officer 
  • Email list of Admissions visitors to school community one day in advance of visits
  • Problem solve for unexpected situations (late visitors, unexpected visitors, etc)
  • Serve as a thought partner with the team about ways to improve the admissions visitor experience and efficiency/effectiveness of the team
  • Maintain Reading Room; includes stocking of coffee/tea area, light cleaning of room daily basis, organizing/tidying space throughout day
  • Prepare the welcome sign for the Admissions visitors on daily basis 
  • Help Admissions Assistants with processing applications as needed 
  • Prepare goody bags for visiting educational consultants
  • Pack and organize fair bags (pack mini viewbooks, swag, inquiry cards, banners, etc.) in advance of Admissions Officers travel to school fairs
  • Monitor schedule of admission visitor’s meetings with Head of School and ensure he/she is available and on schedule
  • Sort mail in School’s mailroom when needed
  • Place Amazon orders, coffee and other office orders as needed
  • Create name tags for Admissions and School events as needed
  • Track stock of marketing materials and place reorders with marketing department as needed
  • Record hours and pay TG's for summer tours
  • Collect new student photos via emails and/or phone calls and then share with Dean of Students office 
  • Add application pieces and create folders for new student profiles
  • Enter educational consultant information into Finalsite
  • Assist Admissions team as needed

  • Continuous engagement with Chief Enrollment Officer and other members of Admissions team
  • Frequent interaction with faculty and staff members

Skills and experience

  • Experience serving as receptionist in high quality customer service environment, strongly preferred
  • Strong interpersonal and communication skills
  • Strong organizational skills with emphasis on attention to detail
  • Ability to multitask effectively
  • Ability to work effectively with faculty, staff, students, parents and school leadership
  • Proficiency with Google suite

Compensation and Benefits 

This is a 12-month position that will report to the Chief Enrollment Officer.
