Renbrook School (West Hartford, CT), an independent day school serving preschool through grade eight students, currently seeks an experienced administrative assistant to fill the part-time (18 hrs.) position of Renbrook PLUS Administrative Assistant.

The Renbrook PLUS Administrative Assistant reports to the Renbrook PLUS Director and is responsible for managing data, registration, scheduling, designing newsletters, and ordering. The Renbrook PLUS Administrative Assistant must possess the competencies and skills to successfully aid the Renbrook PLUS Director as they carry out Renbrook School's mission and vision.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Data Collection

  • registration form creation (all programs)
  • registration
  • roster creation
  • attendance tracking of students
  • hourly tracking of R+ employees & ADP timecard approvals
  • disseminate enrollment confirmation to families
  • disseminate lists/rosters internally to faculty on a daily basis
  • manage communication of daily student registration updates/changes

Billing

  • organize billing info to be handed off to business office at a set cadence
  • track daily attendance for future billing

Scheduling

  • use daily roster to inform weekly scheduling of teachers
  • create master tracker of teacher attendance
  • field teacher attendance changes
  • identify substitutes & communicate w/ subs when needed
  • find/reserve classroom & building spaces
  • ad hoc shifting of spaces

Graphics Creator

create the bi-monthly family newsletter “The Afterword”

  • create the Adventure Catalog
  • collaborate w/ Program Director for content
  • collaborate w/Marketing & Communications personnel as needed for family facing communications

 EDUCATION, EXPERIENCE, SKILLS, & DISPOSITIONS:

  1. Bachelor’s degree (preferred).
  2. A minimum of five years of relevant experience working with children under the age of 13 in a school or after-school setting, including at least two years in an administrative supervisory capacity with demonstrated decision-making ability.
  3. Exceptional organizational, group management, problem-solving, and conflict resolution skills.
  4. Positivity and flexibility in adapting to changing circumstances.
