Reporting to the Director of Advancement, the Communications & Engagement Coordinator plays a vital role in ensuring the successful planning and execution of valuable initiatives that support the school’s enrollment, fundraising, and engagement goals. The successful candidate will work closely with all members of the Advancement team to ensure that marketing campaigns, fundraising efforts, community events, and related projects are completed on time, within scope and budget, and in alignment with the brand, mission, and values. They will also be primarily responsible for engaging and supporting our alumni community.
This role requires a proactive, self-starting, detail-oriented individual, who can balance multiple projects and work well both independently and in a collaborative environment. The ideal candidate will be a skilled communicator and natural relationship-builder.
Key Responsibilities
Project Management:
- Work with team members to understand and define the scope of work, and coordinate and manage deliverables throughout the project life-cycles.
- Develop project plans and ensure proper resource allocation and adherence to deadlines. Coordinate project logistics across multiple teams as needed.
- Develop and maintain content calendars in order to manage communication deliverables.
- Ensure the timely and successful execution of project- and campaign-based work, collaborating with internal teams (e.g., Admissions, MarCom, Development) and external vendors (e.g., videographers, freelancers, school store).
- Manage the schedule, as well as editorial and writing process, for the school’s annual magazine, Connections.
- Oversee communications materials and associated assets to ensure content is consistently updated and properly maintained. Responsible for maintaining a library of marketing materials and ordering office supplies.
- Collaborate with other internal departments—including admissions, auxiliary programs, development, and marketing & communications, among others—to ensure marketing and other project needs are being met.
- Ad hoc assignments as needed
Alumni Engagement & Outreach:
- Work with the Director of Advancement and Development Officer to strategically identify and engage alumni, building relationships through events, programs, and communications.
- Maintain alumni records and communicate regularly (minimum of four times per year) with alumni and their families.
- Compose, design, and send biannual alumni newsletter.
- Identify opportunities to engage alumni in campus events and activities, as well as create new events and programs for alumni participation.
Development / Fundraising:
- Provide administrative support for the upcoming Capital Campaign; responsibilities may include scheduling committee meetings, organizing and tracking campaign progress, and preparing reports, as needed.
- Work with the Development Officer to plan and execute community events, including sending invitations, tracking RSVPs, preparing nametags, and other administrative duties.
Additional Responsibilities
- Build strong relationships with fellow members of the Advancement Team, supporting department initiatives as assigned;
- Participate in school events and engage in the school community;
- Plan, attend, and work special events as needed; and
- Project-based work as assigned.
Qualifications
- Bachelor’s degree in communications, marketing, development, or a related field
- 3–5 years of experience in project management, marketing, or communications (experience in an educational or nonprofit setting is a plus)
- Proven ability to manage multiple projects simultaneously with attention to detail and deadlines
- Strong understanding of marketing principles and multi-channel campaign strategies
- Excellent interpersonal and communication skills, both written and verbal
- Analytical mindset with the ability to interpret data and make informed decisions
- Experience with project management tools (e.g., Asana, Trello, Monday.com) and familiarity with CRM and digital marketing platforms is a plus
- Highly collaborative yet capable of working independently
- Positive attitude and enthusiasm when interacting with members of the community
- Willingness to ask questions and escalate as needed
- Graphic design, photography, and video-production skills, a plus
This is a full time, salaried position with benefits. The salary will be commensurate with experience, ranging from $50,000 to $70,000. Standard hours are Monday - Friday, 8:00 am - 4:30 pm; occasional evening or weekend work will be necessary.
