Position Overview

Westover School seeks a dynamic and organized professional to serve as the Auxiliary Programs Manager & Admissions Associate. This full-time role blends leadership in managing auxiliary programs (including summer camps and facility rentals), key support in admissions and enrollment efforts, and outdoor education programming in the afternoon activities and community programming block.

The ideal candidate will have strong project management skills, the ability to coordinate logistics for various programs, and a passion for engaging with prospective students and families. This position offers an exciting opportunity to contribute to both revenue-generating programs and student recruitment, supporting Westover’s mission and strategic goals.

Key Responsibilities

Auxiliary Programs (40%)

Support the planning, organization, and execution of summer programs, facility rentals, and other auxiliary initiatives.

Serve as a key point of contact for external organizations renting Westover’s facilities, ensuring smooth operations and contract compliance.

Assist with staffing, scheduling, and logistics for auxiliary programs, ensuring that programs run efficiently and align with Westover’s values.

Coordinate marketing and outreach efforts for auxiliary programs to drive engagement and participation.

Manage program registrations, inquiries, and payments, working closely with the business office.

Support budget planning and financial oversight to ensure auxiliary programs are financially sustainable.

Admissions & Enrollment (40%)

Oversee on-campus programming as part of admissions outreach, such as Westover Institute classes for Middle School age students in the arts and athletics, athletic team partnerships with local schools, and more.

Participate in local travel, as needed, to attend school fairs, networking events, and community outreach programs.

Serve as a warm and welcoming presence for prospective students and families, supporting outreach and recruitment efforts.

Support aspects of the admissions process, including application review, interview coordination, and record maintenance.

Help plan and execute admissions events such as open houses, school tours, and accepted student days.

Coordinate community engagement initiatives to enrich the prospective student experience.

Assist with marketing and communications to promote Westover’s enrollment efforts.

Outdoor Education (20%)

Assist with the development of an outdoor education program that engages students through a variety of activities designed to spark interest in and foster a deeper connection with the outdoors, ranging from experiences such as hikes in Westover Woods, kayaking, outdoor leadership and team-building exercises, sustainable gardening, and evening programming at Seven Sisters. 

Qualifications & Skills

Bachelor’s degree required; experience in auxiliary programs, event planning, admissions, or related fields preferred.

Strong organizational and project management skills, with the ability to manage multiple priorities simultaneously.

Excellent communication and interpersonal skills, with a warm and engaging presence in both in-person and virtual settings.

Ability to collaborate across departments and work effectively with faculty, staff, families, and external partners.

Creative problem-solver with a solutions-oriented mindset.

Proficiency with Microsoft Office, Google Suite, and admissions/registration platforms (experience with Blackbaud or similar CRM systems is a plus).
